The biggest change in Kuee 4.30 is a new way to look at the day: one row per therapist, with every booking where it belongs, and bookings you can drag to a new time or a different therapist. Front desks that juggle walk-ins, late arrivals and "can I stay another 30 minutes?" get the most out of this release.

Checkout got smarter too: add time or extras during a visit, reverse rewards on a full refund, and send clients a text receipt. And the AI phone now comes in three monthly packages with call minutes and texts included.

See each therapist's day and drag bookings to move them

On a busy Saturday the front desk needs to know who is free and who can take the next client. The new By staff view shows that at a glance: each therapist gets a row across the day, their shift and time off are shown, and bookings that still need a therapist sit in an Unassigned row at the top.

How to set it up

  1. Open Appointment in the sidebar and go to the day view.
  2. Switch from By time to By staff. The page remembers your choice on that computer; By time stays the default.
  3. Choose the order of the rows with Sort. Custom (drag the list) lets you drag therapists into the order you want, and that order is shared by the whole store. You can also sort by shift start, by name or by booked time today, and turn on Hide staff who are off today.

How to use it day to day

  • Move a booking. Drag it left or right to change the time, or up or down to give that service to another therapist. A Confirm change bar shows the old and new time and therapist; nothing is saved until you press Confirm, and Undo appears right after.
  • Book into a gap. Double-click an empty spot in a therapist's row to start a new booking with that time and therapist already filled in.
  • Catch double-bookings. If two bookings overlap, a banner says how many there are today, and Show me jumps to them.

Kuee checks every drop before it saves. It stops a move that would overlap another booking, fall outside the therapist's shift or time off, go to someone who cannot do the service, land when the store is closed, or leave no free room.

Getting the most out of it

  • Leave By staff on at the front desk and By time on the manager's screen: each computer keeps its own choice.
  • Drag unassigned bookings to a therapist first thing in the morning, so nothing reaches the afternoon without a name on it.
  • Owners, admins and the front desk can move bookings; therapists cannot.

Good to know: a booking cannot be dragged to another day, and cancelled and no-show bookings cannot be moved. When the time changes, reminders that were already scheduled move with it; dragging does not send the client a new text. Moving a paid booking to another therapist recalculates commission at the new therapist's rate.

Add time or extras while the client is in the room

A client on a 60-minute massage asks to stay for 90. Until now the front desk had to change the service by hand and fix the price and the therapist's pay afterwards. Now you extend the service in place: the start time stays, and the price, end time and commission update together.

How to use it

  1. Open the checked-in appointment from Appointment.
  2. Under Add-ons, click Add item.
  3. In EXTEND TIME, pick the longer length. Kuee lists the other lengths you already sell for that service, with the extra minutes and the extra price.
  4. In ADD-ONS, pick an extra such as hot stones, or type a Custom item with a name and price and click Add.

The service then shows a badge such as "Extended +30 min · was 60 min" and can be undone. If the longer visit would run into the therapist's next booking or the room's next guest, Kuee warns you first; Extend anyway keeps going when you have already sorted it out.

Tip: set up the lengths you want to offer (60, 90, 120 minutes) on the service itself; Kuee only offers lengths that already exist.

Good to know: extending works on checked-in services that have not been paid yet. It is not available for four-hand services shared by two therapists, for a service whose price was edited by hand, or while a card payment is in progress.

Late arrivals stay on the calendar

Before, a booking that passed its start time without a check-in dropped out of view. Now late bookings stay on the calendar with a Not arrived badge, and the front desk can deal with them in one tap.

How to use it day to day

On the Appointment page, the operations board has a Not arrived tab. It lists today's appointments not checked in 10 minutes after they start. Each one has three buttons:

  • Arrived · Check in opens the normal check-in.
  • Text customer sends a ready-made text asking whether the client is on the way.
  • Mark no-show asks you to confirm first and shows the no-show fee if your store charges one.

Appointments from yesterday or the last few days that nobody closed show up in a banner. Click Resolve, mark each one Came in, No-show or Cancel, and press Submit. Nothing is pre-selected, so nothing is changed by accident.

Good to know: marking no-shows from the banner never charges a fee; to charge one, open the appointment instead. Came in records the visit at full price as settled elsewhere, not as money collected. The banner covers the last 7 days.

Refunds that put points, sessions and gift card balance back

A full refund used to leave points, package sessions and gift card balances as they were, to be fixed by hand. Now a full refund offers to reverse them for you.

How to use it

  1. Open the order in Order Management and click Refund.
  2. For a full refund, the section Also reverse this order's rewards lists what the order touched: points earned, points spent, package sessions and gift card amounts.
  3. Everything is checked by default. Uncheck anything you want the client to keep, then finish the refund.

A partial refund leaves rewards as they are, and says so: "Partial refunds don't reverse rewards". Voiding an order and checking it out again also puts back a redeemed coupon and any gift card amount that was used.

Good to know: rewards are reversed only after the refund itself succeeds. If a refund went through but the rewards could not be reversed, Kuee tells you so and asks you to contact us.

More new features

AI phone and texts in one monthly package

The AI phone is now sold as a comms package: one phone number plus a monthly allowance of AI call minutes and texts, in three tiers.

"About N calls" assumes about 1.5 billable minutes a call. Beyond the allowance, AI calls are $0.20 per billable minute (each call rounded up) and texts $0.025 per segment; calls under 15 seconds are free. Allowances reset monthly and don't roll over, and extra numbers are $10 a month each with no added allowance. The package's text allowance and your plan's text allowance don't add up: you get whichever is larger.

You choose a package in System Settings → Communications → AI Phone when you get your first number. After that, the Comms package card there shows this month's usage and a Change tier button. Upgrades apply right away, with the prorated difference on your next invoice; downgrades start next billing period. Owners and admins can change it. Already have an AI number? Existing numbers get the Basic allowance and each number is still $10 a month; upgrading moves your first number into the package.

Text receipts after checkout

Clients can now get a text receipt after they pay: amount paid, tip, payment method, and their remaining package sessions and gift card balance. It is off by default. To turn it on, an owner or admin opens System Settings → Communications → Notification Settings and switches on Text a receipt after checkout. When one payment covers several appointments, choose who gets the receipt under Send receipt to. If you also ask clients for Google reviews after a visit, the review link is added to the same text, so the client gets one message instead of two. Each receipt counts toward your SMS usage; clients who opted out of texts do not get one. Phone and SMS usage may be billed separately.

The client's coupons at checkout

When a client is attached to the checkout, their coupons now appear next to the coupon code box, usable ones first. Click one to apply it. Coupons that cannot be used are greyed out with the reason, for example a minimum spend or an expiry date. Not listed? Enter a code still takes a code by hand.

A second therapist on any service, and the same service twice

Any service can now take a second therapist, not only the ones set up as four-hand. A service can also be booked twice in the same visit with Do again (time and price are counted twice, as Pass 1 and Pass 2), and the same therapist cannot do both passes. When a package pays for both passes, two sessions are used. Online booking and the AI phone still book the way they did before, and Do again is not offered when Per-service rooms on multi-service bookings is on.

A reason for every cancellation

When your team cancels an appointment, they now pick a Cancellation reason before Confirm cancel unlocks; Other asks for a short note. The reason is "Internal only, never shown to the customer". Clients cancelling themselves, the AI phone and calendar sync record their own reasons automatically.

Your service order on your booking page

Your public booking page now lists services in the order you choose. In System Settings → Services & Resources → Service Items, click Reorder on a category, move services up or down, and each click saves right away. The same order is used when the appointment calendar groups bookings by service. Owners and admins can change it.

Start the service timer at check-in

A new store setting starts the therapist's timer as soon as the client is checked in, so the therapist does not have to tap Start. Find it in System Settings → Store & Operations → System Configuration, under Check-in and service start: Start service on check-in. It is off by default. Turn it on if clients go straight to the room after check-in; leave it off if they often wait, because any wait after check-in then counts toward the service.

Smaller improvements

  • Booking times show who is busy. The time list when you book or edit an appointment now shows, for the therapist you picked, how many bookings they already have at that time ("2 booked"), or "Off shift" and "On leave". Every time can still be chosen.
  • Callback requests have an outcome. If you use the AI phone, each callback request now ends with Log outcome: Booked (linked to the appointment), No answer (stays in the list and counts one attempt) or Not needed (closes it).
  • The claim screen follows the front desk. It updates on its own when a client is checked in or checked out.
  • Marketing texts at sensible hours. Birthday, win-back, holiday and coupon texts now go out only between 9 AM and 8 PM in your store's time zone. Texts queued in the evening go out the next morning.
  • A separate DBA field for phone registration. The AI Phone registration form has a DBA (trade name, optional) field, and warns you if the trade name was typed into the legal name.

Fixes you may notice

  • Refunds on orders paid partly by gift card now default to the cash you actually took, and the gift card part goes back to the card.
  • Moving an appointment that had not started now moves the therapist's start time too, so confirmation texts no longer show the old time.
  • Voiding a cash order that used a coupon no longer fails with an error.
  • Voiding an order that sold a gift card now clears an unused card, and stops the void if the card has already been used.
  • Google review requests after checkout were not going out for some checkouts; they are sent again for every checkout.
  • Expired packages were still shown as usable; they are now marked expired within a day of their end date.
  • Online intake forms now find the client's existing profile by phone and name even when one side has no birthday.
  • Client preferences you never asked about are no longer saved as a default value; they show as "Not asked".
  • The AI assistant said bulk texts were sent when they were not; it now shows that they were not sent.
  • Texts blocked because a client opted out no longer count toward your SMS usage.
